What Product Management does inside ERPS X

Products is the master data application for everything your company stocks, sells, buys, or builds. Each product record holds a Product ID, name, type, unit of measurement, Sales Price, Cost, customer and vendor taxes, an internal reference, a barcode, tags, and an image — plus flags for whether it can be sold and can be purchased.

The same record carries the operational settings other modules need: preferred vendors with their price, quantity, and delivery lead time; a control policy (bill on ordered or on received quantities); routes; a responsible user; weight and volume; customer lead time; and separate descriptions for receipts and delivery orders. Finance settings live here too: the income, expense, and difference accounts the product posts to.

Around the product master sit the related Inventory screens: Product Categories, Receipts and Deliveries transfers, Scrap Orders, and the Inventory Report, Product Moves, and Warehouse Analysis reports. Sales quotations, purchase quotations, manufacturing orders, and POS items all point back to the same product.

Where teams use Product Management every day

Retailer building a catalog

Create items with barcode, price, and category once; POS sells them and ERPS tracks the stock.

Distributor with many vendors

Keep several vendors per product with their prices and lead times for faster purchase quotations.

Manufacturer managing components

Raw materials and finished goods share one master that Bills of Material and Manufacturing Orders reference.

Finance standardizing postings

Assign income and expense accounts per product group so revenue and COGS are consistent.

Warehouse receiving goods

Post a receipt transfer against a purchase source document and see on-hand stock rise.

Manager reviewing stock

Use Inventory Report and Warehouse Analysis to see quantities and value by product and category.

What changes when Product Management runs on ERPS X

Outcomes you can expect once the application is live for your company.

One source of truth

Sales, Purchase, Manufacturing, Accounting, and POS use the same product record.

Faster documents

Quotations and purchase orders pull price, tax, UoM, and descriptions from the product.

Consistent postings

Accounts set on the product mean every transaction lands in the right ledger.

Traceable movements

Product Moves shows each receipt, delivery, adjustment, and scrap behind today's on-hand figure.

Per-company catalogs

Each company workspace on ERPS X keeps its own products in its own database.

Controlled access

The Products application is granted per department and user, with edit rights separate from view.

Product Management — common questions

What information does a product record hold?
Product ID, name, type, category, unit of measurement, sales price, cost, customer and vendor taxes, internal reference, barcode, tags, image, weight and volume, customer lead time, control policy, routes, responsible user, preferred vendors, descriptions for receipts and deliveries, and the income, expense, and difference accounts.
Can a product have more than one vendor?
Yes. Add vendor lines with each vendor's price, quantity, and delivery lead time. Purchase uses them when you raise a request for quotation.
How is on-hand stock updated?
Through Receipts and Deliveries transfers, Inventory Adjustments, Scrap Orders, and the movements created by Sales, Purchase, Manufacturing, and POS in the same company database. Product Moves lists them all.
Where do I set which accounts a product posts to?
On the product form itself. Each product carries an income account, an expense account, and a difference account used by Sales, Purchase, and Inventory Adjustment.
Do POS items and ERPS products share data?
POS runs in the same company workspace and shares the company database with ERPS for accounts. POS keeps its own items, categories, and brands screens for the till, and its journals post into ERPS Accounting.
