What Fleet Management does inside ERPS X

Fleet Management is the vehicle application of the Human Resources department in ERPS X ERPS. The vehicle register holds model, license plate, chassis number, model year, color, transmission, fuel type, horsepower and horsepower taxation, CO2 emission, catalog, purchase, and residual values, location, tags, and notes. Each vehicle is assigned a driver and a fleet manager from your employees, with an assignment date and first contract date.

Fleet contracts record the agreements behind each vehicle — leasing, insurance, or maintenance — with the vendor, type, reference, start, expiration, and invoice dates, activation cost, recurring cost and frequency (daily, weekly, monthly, yearly), included services, and terms. Fleet services log every Service, Oil Change, Repairing, or Cleaning event with date, odometer value, vendor, driver, and cost.

Vehicle status moves through New → To Order → Registered → Downgraded → Sold Out, and the Fleet Costs report totals contract and service spend so the running cost of the fleet is a number, not an estimate. Vendors are the same vendor records used by Purchase.

What changes when Fleet Management runs on ERPS X

Fleet Management — common questions

Is Fleet a separate product?
No. It is an application inside ERPS X ERPS under the Human Resources department, available to any company with ERPS active on its plan.
What can a fleet contract represent?
Any agreement tied to a vehicle — leasing, insurance, or maintenance — with vendor, type, reference, dates, activation cost, and a recurring cost at daily, weekly, monthly, or yearly frequency.
Which services can I log?
Service, Oil Change, Repairing, and Cleaning, each with date, odometer value, vendor, driver, cost, description, and notes.
Does Fleet track fuel fill-ups or live vehicle location?
No. Fleet records the vehicle, its contracts, and service events. Fuel paid by a driver can be claimed through Expenses; the location field on the vehicle is a text description, not live tracking.
How is fleet cost reported?
The Fleet Costs report totals contract and service spend so you see Fleet Total Cost per company, with the underlying contracts and services available for review.
